If there is a fire
• A fire siren will sound throughout the building.
• Do not stay to fight a fire unless you can extinguish it immediately.
• Close all doors behind you
• Evacuate the building immediately
• DO NOT use the lifts.
• Entrance doors of the building and pedestrian doors from the car parks have a fail-safe system. This will disengage the security locks when the power is cut or the fire siren operates.
• Where installed, sprinklers will be activated near the fire source.

Emergency maintenance
Our building manager, Whittles, can be contacted after hours should an emergency maintenance situation arise such as a water, gas, sewerage or electrical problem. They can assist in having a contractor attend. Any charges incurred would be the responsibility of the owner unless the issue is shown to be an OC liability.

Smoke alarms
Smoke alarms installed in apartments must be maintained in working order and batteries replaced at a minimum of every 12 months. It is the individual owners responsibility to ensure the necessary testing is undertaken on a regular basis and batteries changed. Should the apartment be leased, owners must ensure the rental manager is instructed to undertake the annual test while carrying out their inspection.
Security
A benefit of living at BYFAS is the degree of security given to residents through the use of secure door fobs and garage remotes.
The level of security we enjoy can be undermined by seemingly simple acts such as …
• Letting somebody waiting near a door into the building without knowing who they are
• Letting unknown people into the building via the intercom
• Leaving doors wedged open when moving in/out or for trades-people when no one is in attendance
• Estate agents leaving doors open for their convenience when an apartment is open for inspection
Don’t hesitate to secure doors if no one is in attendance or to ask apparent strangers in the building, the reason for their visit.

CCTV
Note that our CCTV covers the areas of the mail boxes and most of the Upper Basement corridor. There is no CCTV in corridors of residential levels nor, currently at least, in the car parks. If an incident occurs where reference to a CCTV files might be wanted, this should be reported to our OC Managers as promptly as possible because files may be recorded-over after about 2 - 3 weeks.
Keys (proximity fobs & car park remotes)
• An owner must exercise a high degree of caution and responsibility in making a security key available for use by a resident and must use all reasonable endeavours, including an appropriate stipulation in any lease of an apartment, to the resident to ensure the return of the security key to the owner,
• An owner or a resident in possession of a security key must not without the written consent from the Owners Corporation duplicate the security key or permit it to be duplicated and must take all reasonable precautions to ensure the security key is not lost or handed to any person other than another owner or resident and is not to dispose of a key other than by returning it to the Owners Corporation,
It is recommended that owners/residents ensure they safely record the numbers of all fobs and car park remotes they use.
How to order additional proximity fobs and car park remotes
• Additional apartment door proximity fobs and garage door remotes may only be ordered through Whittles by completing the following order form. (click here)
• Whittles will accept orders from apartment owners or authorised agents/tenants if a copy of the signed lease is attached to the order form.. The owner (or tenant/agent) can either collect fobs/remotes from Whittles office or arrange for their secure delivery. When fobs or remotes are handed over personally at Whittles in office hours, they will already be activated. If fobs or remotes are posted, Whittles are to be advised in office hours of the secure delivery and will then arrange for their activation.
• Fees charges (as at Jan 2018) are:
Proximity Fob - $13.75 each plus Activation fee $60 for one or more fobs, handling fee of $15 and registered post of $6.80
Car Park Remote - $58.20 each (plus activation fee, handling fee and delivery fee above if one only).
Also involved is an Activation fee $60 for one or more fobs, handling fee of $15 and registered post of $6.80.
Payment can be made by cheque, money order, cash or EFT.
Notification to Whittles and replacement fobs/remotes (in the event of loss or theft)
• The owner or agent must contact Whittles during office hours, (8.30 am – 5.00pm) on 8632 3300 asap to advise of the loss of the missing fob/remote
• If the individual lost fob/remote cannot be identified and is cancelled, all other fobs/remotes issued for that apartment may have to be deactivated and new fobs/remotes will be re-issued at the owners expense. This is to ensure security of the affected apartment and the BYFAS building is not compromised.

• Material damage to building and common contents
• Loss of rent / Temporary accommodation
• Catastrophe cover
• Public liability
• Personal accident for voluntary workers
• Fidelity guarantee
• Office bearers' legal liability
• Appeal expenses - common property health and safety breaches
• Legal defence expenses
Residents are responsible for any private insurance if they wish the contents of their lot (apartment and storage cage) and public liability to be covered.
In addition to such items as personal effects, appliances and furniture, owners may wish to have insurance cover on floor coverings (floating floor boards, carpet), drapes and blinds etc, whether occupied by themselves or tenants.
Any insurance claim by an apartment owner that may be an OC responsibility, must be directed in the first instance to the OC manager. An assessor may be involved to assist with the claim process. The engagement of an assessor will be determined by the insurance underwriter.
Owners need to be aware that an insurance excess may be incurred by them on any claim made on OC insurance.
